Cancellation and Refund Policy

Important Notice

All services provided by EXPLERA VACATIONS PRIVATE LIMITED are NON-REFUNDABLE.

1. General Policy

EXPLERA VACATIONS PRIVATE LIMITED operates a strict non-refundable policy for all services. Once payment is made and services are booked, no refunds will be issued under any circumstances.

This policy applies to all services including but not limited to:

  • Flight bookings and ticketing
  • Hotel and accommodation reservations
  • Holiday packages
  • Visa assistance and processing services
  • Corporate travel arrangements
  • Exhibition and event travel services
  • Service charges and consultation fees

2. Service Charges

All service charges paid to EXPLERA VACATIONS PRIVATE LIMITED are non-refundable. This includes:

  • Visa processing service charges
  • Booking and reservation fees
  • Consultation and advisory fees
  • Documentation and processing charges
  • Administrative and handling fees

These charges are for professional services rendered and are non-refundable regardless of the outcome of visa applications or booking confirmations.

3. Visa Services - No Refund Policy

3.1 Service Charges: The service charge of ₹3,500 per applicant (or as quoted) for visa assistance is completely non-refundable once the application process has commenced.

3.2 Government Fees: Government visa fees paid to respective authorities are non-refundable as per government policies. EXPLERA VACATIONS PRIVATE LIMITED has no control over these fees.

3.3 Visa Rejection: In case of visa rejection by government authorities, no refund of service charges or government fees will be provided. The decision to grant or refuse a visa is solely at the discretion of the respective government.

3.4 Application Withdrawal: If a client decides to withdraw their visa application after payment, no refund will be issued for services already rendered or fees paid.

4. Flight Bookings

4.1 Non-Refundable Tickets: Most flight bookings are non-refundable as per airline policies. Our service charges for flight bookings are also non-refundable.

4.2 Cancellations: If you need to cancel a flight booking, airline cancellation policies will apply. Any cancellation charges imposed by airlines are the responsibility of the client.

4.3 Changes and Modifications: Changes to flight bookings may be subject to airline fees and availability. Our service charges for processing changes are non-refundable.

5. Hotel Bookings

5.1 Cancellation Terms: Hotel bookings are subject to the cancellation policies of individual hotels. Most hotels have strict cancellation policies with penalties.

5.2 No-Show: In case of no-show, full charges may apply as per hotel policies. No refunds will be provided by EXPLERA VACATIONS PRIVATE LIMITED.

5.3 Service Charges: Our service charges for hotel bookings are non-refundable regardless of cancellation or changes.

6. Holiday Packages

6.1 Package Bookings: All holiday package bookings are non-refundable once confirmed and paid for.

6.2 Cancellation Charges: If you cancel a holiday package, 100% of the package cost will be forfeited. No refunds will be issued.

6.3 Partial Cancellation: If you wish to cancel part of a package (e.g., one service or one traveler), the entire package cost remains non-refundable.

7. Force Majeure and Unforeseen Circumstances

No refunds will be provided in cases of force majeure or unforeseen circumstances including but not limited to:

  • Natural disasters (earthquakes, floods, hurricanes, etc.)
  • Pandemics or health emergencies
  • War, terrorism, or civil unrest
  • Government restrictions or travel bans
  • Airline or service provider bankruptcy
  • Personal emergencies or medical issues
  • Changes in personal plans or circumstances

We strongly recommend purchasing comprehensive travel insurance to protect against such unforeseen circumstances.

8. Payment Disputes

8.1 Chargebacks: Initiating a chargeback or payment dispute without first contacting us is considered a breach of these terms. We reserve the right to take legal action in such cases.

8.2 Resolution Process: If you have any concerns about charges, please contact us directly. We will work to resolve any genuine issues fairly and promptly.

9. Exceptions

The only exception to our non-refundable policy is in cases where:

  • EXPLERA VACATIONS PRIVATE LIMITED fails to provide the services as agreed due to our own fault
  • Duplicate payments are made in error
  • Services are cancelled by us before commencement

In such exceptional cases, refunds will be processed within 15-30 business days to the original payment method.

10. Travel Insurance Recommendation

Given our strict non-refundable policy, we strongly recommend that all clients purchase comprehensive travel insurance that covers:

  • Trip cancellation and interruption
  • Medical emergencies and evacuation
  • Lost or delayed baggage
  • Flight delays and cancellations
  • Personal liability
  • Emergency assistance services

Travel insurance can provide financial protection in case you need to cancel or modify your travel plans.

11. Acknowledgment

By making a payment and using our services, you acknowledge that:

  • You have read and understood this Cancellation and Refund Policy
  • You agree to the non-refundable nature of all services
  • You accept full responsibility for your booking decisions
  • You understand that EXPLERA VACATIONS PRIVATE LIMITED is not liable for refunds under any circumstances except as stated in Section 9
